Job Description:

The European Molecular Biology Organization (EMBO) promotes excellence in molecular life sciences in Europe by recognizing and fostering talented scientists. Funding, training and networking activities plus four scientific journals impact thousands of scientists every year, promoting collaboration in all areas of molecular biology – within the 27 member states, in Europe and neighbouring countries, and worldwide.

EMBO is seeking an experienced administrative officer for the EMBO Courses & Workshops Programme. The Administrative Officer provides a wide range of administrative support including liaison with event organizers, responding to programme enquiries, data processing, documentation preparation, proof-reading, meeting co-ordination and general accounting.

Duties:

• Liaise with all stakeholders including event participants, organizers, committee members, other scientific organizations and others in the EMBO community

• Monitor the overall budget, and create invoices, track and process payment requests, and liaise with financial administration to ensure timely payment

• Collate statistical, questionnaire and financial information and create reports as required

• Organize meetings and courses: including preparation of documentation, event logistics, and minute taking

• Prepare, process, follow-up and check documentation

• Proof-read and ensure that meeting listings are accurate and updated for advertising and EMBO documentation

• Ensure that internal websites display up to date information and check external sources for adherence to funding guidelines

• Maintain a paper and electronic archive of all applications and related documentation

• Assist the Programme Manager with related duties

• Perform additional tasks as required by the EMBO Director.

Qualifications & experience:

Relevant experience in an administrative service or secretariat (preferably in an international environment and/or scientific environment) is required.

The ideal candidate will have the ability to work on several projects concurrently and is expected to work both autonomously and as part of a team. He/she should have a positive attitude and customer service focus.

The Administrative Officer will have strong organizational and time management skills; be able to set priorities and work to deadlines while remaining flexible in a dynamic work environment; demonstrate a high level of accuracy and attention to detail; have excellent communication and interpersonal skills. Excellent written and oral English language skills are prerequisite, including professional business writing skills.

Proficiency in the use of computer-based office tools is essential. Familiarity with updating websites and content management systems and of working with databases (in particular Filemaker Pro) is desirable.

Contract:

An initial contract of 3 years will be offered to the successful candidate. This can be renewed, depending on circumstances at the time of review.
